Payroll Administrator
The Payroll Administrator is responsible for the full-cycle processing of payroll across multiple Canadian provinces, ensuring compliance with all applicable federal and provincial legislation. This role requires experience handling complex payroll scenarios, including mileage and travel time calculations, and staggered shift schedules. The successful candidate will leverage the NetSuite accounting system to maintain accurate and timely payroll operations.
Key Responsibilities:
Process end-to-end payroll for employees across multiple provinces in Canada on a weekly basis.
Ensure compliance with federal and provincial payroll legislation, including employment standards, taxation, and statutory deductions (e.g., CPP, EI, income tax).
Accurately calculate:
Travel time for field staff working at various job sites
Mileage reimbursements in accordance with company policy
Overtime, shift premiums, and staggered shift schedules
Maintain and update employee payroll records, including new hires, terminations, and status changes.
Prepare Records of Employment (ROEs),
Respond to employee payroll inquiries in a timely and professional manner.
Support audits by providing payroll data and documentation as required.
Collaborate with HR and Finance teams to ensure accurate payroll inputs and reporting.
Qualifications & Experience:
Diploma or degree in Accounting, Finance, or a related field.
PCP (Payroll Compliance Practitioner) designation from the National Payroll Institute is preferred.
1–3+ years of payroll experience, including multi-provincial payroll processing in Canada.
Strong knowledge of Canadian payroll legislation and employment standards across provinces.
Hands-on experience with NetSuite payroll module (or similar ERP systems).
Skills & Competencies:
High attention to detail and accuracy.
Strong analytical and problem-solving skills.
Ability to manage complex payroll calculations (travel time, mileage, shift differentials).
Excellent organizational and time management skills.
Strong communication skills and ability to handle confidential information with discretion.
Proficiency in Microsoft Excel including pivot tables / VLOOKUP and payroll reporting tools.
Working Conditions:
May require extended hours during payroll processing periods and year-end.
Ability to manage deadlines in a fast-paced environment.
Interaction with field staff across different time zones.
